The selected Administrative Assistant must be able to perform effectively in each of these areas:
-Responsible for scanning and screening, logging and filing, mailing or internal distribution Company documents and correspondence.
-Receive, answer and forward phone calls; make some calls on behalf of GM.
-Tracking status of company action items for the General Manager, Leadership Team and key Stakeholders; includes weekly notification of Emergency Response Leadership Team duty roster assignments and Delegations of Authority.
-Provide functional guidance/ mentoring to other administrative resources and lead standardization efforts for administrative practices and procedures, eg, document control.
-Keep the General Manager fully informed on all matters requiring attention and action.
-Support communications related to business and operational matters relevant to the Office of the General Manager, including company wide memoranda.
-Might attend meetings to take minutes and keep notes.
-Manage the GM’s and remaining SLT agendas;
-Manage General Manager travel
-Handle internal and external general enquiries to the Office of the GM; able to prioritize information and work closely with Shareholder Interface;
-Responsible for liaison with the ELT; obtaining progress reports, reviewing for key points of relevance and preparing high level briefing notes to the General Manager.
Requisitos
-12 Grade or high school equivalent
-Bachelor’s Degree in Business Management / Law / Economics.
-Strong administrative background, preferably at Senior level in the industry
-5+ years of experience in business, holding positions of providing executive services to management teams, and/or personal assistant to senior management positions.
-Highly fluent in English and Portuguese
-Strong effective communicator
-Highly developed teamwork skills.
-Planning, Scheduling and Coordination skills
-Experience with Business Writing and Presentations (ppt).
-Able to network and establish good interpersonal skills at all levels of an organization
-Highly organized and able to quickly respond and deal with unprecedented changes and last minute requests
-Adaptable, flexible and a self-motivator
