Descrição
Acting as a first point of contact dealing with correspondence and phone calls;
Manage, coordinate and maintain calendar of CEO including appointments, meetings and travel;
Reminding the manager/executive of important tasks and deadlines;
Responsible for organizing of internal and external meetings on behalf of the CEO ensuring all necessary requirements are made such meeting location equipment, presentations, prepare agendas.
Provide executive and administrative support to CEO;
Responsible for organizing CEO travel and logistics including flights, visa requirements, hotel accommodation, car rental, meeting schedules while travelling and completing expenses;
Monitor and respond to incoming communications (including complaints) to CEO’s office including phone calls, emails and walk in to office;
Secretarial support for meetings as and when required by the CEO, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and arranging refreshments. Writing and distributing comprehensive minutes and action points to all members post meeting;
Follow up on action points of meeting members and specifically by CEO requests;
Drafting and writing high quality reports and presentations, as required by the CEO;
Communicating important updates and information to entities as required by CEO;
Responsible for managing CEO’s personal driver’s daily schedule in line with CEO’s daily requirements;
Typing, compiling and preparing reports, presentations and correspondence;
Managing databases and filing systems;
Implementing and maintaining procedures;
Be in contact with staff, suppliers and clients;
Collating and filing expenses;
Arrange Central Office and Senior leadership events.
Requisitos
University degree or diploma relating to the field, (Preferential Requirement);
Minimum 2 years’ experience as Personal Assistant, Office Manager or similar role;
Have a professional knowledge of all Microsoft Office programs;
Knowledge of relevant legal requirements;
Fluency in English – spoken and written;
Organizational, planning and multi-tasking skills;
Communication skills;
